Love Your Event Co Ltd (referred to as “the Company”, “we”, “us”, or “our”) hires equipment subject to the following Terms and Conditions (“T&Cs”). By confirming a booking or accepting delivery of equipment, the Hirer (“you”, “your”, or “the customer”) agrees to be bound by these T&Cs.

1. Definitions

  • Company/Us: Love Your Event Co Ltd trading as loveyourevent.uk.
  • Hirer/You: The person, firm, or company contracting with the Company to hire the Equipment.
  • Equipment: All goods, items, furniture, electrical components, or accessories supplied by the Company for hire under the contract.
  • Hire Period: The time period commencing upon collection/delivery of the Equipment and ending upon return/collection of the Equipment, as specified in the booking confirmation.
  • Hire Charge: The fee payable by the Hirer to the Company for the Hire Period.

2. Hire Agreement

2.1 Confirmation of Booking

A booking is only confirmed when the Company issues a written Booking Confirmation and the Hirer has paid the required 25% non-refundable deposit or the full Hire Charge, whichever is specified at the time of booking.

2.2 Payment

  • The balance of the Hire Charge must be paid in full no later than 14 days prior to the commencement of the Hire Period.
  • If the balance is not paid by the due date, the Company reserves the right to treat the booking as cancelled by the Hirer and the deposit will be forfeited.

2.3 Security Deposit

  • A refundable Security Deposit of £100 or 25% is required for all bookings.
  • The Security Deposit will be returned in full within 7 days of the Equipment’s return, provided the Equipment is returned complete, undamaged, and clean.

3. Hire Period and Charges

3.1 Duration

The Hire Period is strictly defined in the Booking Confirmation. Any extension must be agreed upon in writing by the Company and may incur additional Hire Charges.

3.2 Late Return

If the Equipment is not returned by the agreed collection/return time, the Company reserves the right to charge an additional daily Hire Charge for each day (or part thereof) the Equipment is retained, until it is safely returned to the Company’s premises or collected by the Company.

4. Hirer’s Responsibility and Insurance

4.1 Care of Equipment

The Hirer is solely responsible for the Equipment from the moment it is collected/delivered until it is returned/collected by the Company. The Hirer must:

  • Use the Equipment only for its intended purpose and in a safe and proper manner.
  • Not alter, modify, or interfere with the Equipment.
  • Keep the Equipment in their possession and under their control at the agreed event location.

4.2 Loss and Damage

The Hirer is liable for the full replacement cost of any Equipment lost, stolen, or damaged beyond repair, and for the cost of repairing any partially damaged Equipment, regardless of how the loss or damage occurs (including, but not limited to, fire, theft, or vandalism).

4.3 Insurance

The Hirer is responsible for arranging appropriate insurance coverage for the hired Equipment during the Hire Period, covering damage, loss, and theft, up to the full replacement value. The Company offers an optional non-refundable Damage Waiver for an additional fee, which limits the Hirer’s liability for accidental damage, subject to the terms detailed in Section 10.

5. Delivery and Collection

5.1 Access and Site Conditions

The Hirer must ensure that clear, unrestricted access is provided for delivery and collection at the agreed times. The Hirer is responsible for ensuring the venue/site is suitable for the intended use of the Equipment.

5.2 Attendance

The Hirer or an authorised representative must be present at the delivery and collection points to sign the inspection report/delivery note, acknowledging the Equipment’s condition and quantity. Failure to sign constitutes acceptance of the Company’s count and assessment of condition.

5.3 Set-up

Unless explicitly included in the Booking Confirmation as a separate service, the Hire Charge covers the delivery and collection only. The set-up and pack-down of the Equipment is the responsibility of the Hirer.

6. Cancellation Policy

The following cancellation charges apply, based on the total Hire Charge (excluding the non-refundable deposit):

  • Cancellation more than 90 days before the Hire Period: Loss of deposit only.
  • Cancellation between 60 and 90 days before the Hire Period: 50% of the total Hire Charge.
  • Cancellation between 14 and 59 days before the Hire Period: 75% of the total Hire Charge.
  • Cancellation less than 14 days before the Hire Period: 100% of the total Hire Charge.

7. Company Liability

7.1 Exclusion

The Company accepts no liability for any injury, loss, or damage to any person or property whatsoever arising from the use or misuse of the Equipment, howsoever caused.

7.2 Limitation

The Company’s total liability to the Hirer under this contract is limited to the total amount of the Hire Charge paid by the Hirer.

8. Force Majeure

The Company shall not be liable for any failure to perform its obligations where such failure is caused by an event beyond its reasonable control, including but not limited to, Acts of God, war, civil disturbance, industrial action, power failure, transport delays, or severe weather.

9. Governing Law

These Terms and Conditions shall be governed by and construed in accordance with the laws of England and Wales, and the parties submit to the exclusive jurisdiction of the English courts.

10. Optional Damage Waiver

10.1 Damage Waiver Fee

The Damage Waiver is an optional, non-refundable fee of 10% of the total Hire Charge.

10.2 Coverage

The Damage Waiver covers the cost of repairing or replacing Equipment due to accidental damage only, subject to an excess.

10.3 Exclusions

The Damage Waiver does NOT cover:

  • Loss, theft, or mysterious disappearance of the Equipment.
  • Damage caused by misuse, negligence, or deliberate action.
  • Damage to packaging materials (e.g., boxes, crates).
  • Any single claim exceeding £500 in replacement value.
  • The Hirer remains liable for the first £50 of any accidental damage claim (the excess).

By proceeding with a booking, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions.
